1. My commitment to your privacy

I operate Giles Mobile Notary and provide in-person mobile notary services in Tennessee. This policy explains how I handle information received through my website, communications, appointments, and services.

I collect information for scheduling, identity verification, completion of services, payment, and recordkeeping. Temporary identification photographs are deleted after package acceptance, while notarial records and certain business communications are retained as described below.

2. Information I collect

Depending on the service requested, I collect or receive:

I receive information directly from you or from a person or company authorized to arrange services for you.

3. Identification photographs and document handling

Some lenders or companies require a photograph of identification to verify a transaction. When needed for your engagement, I photograph your identification and transmit it to the lender or company handling the transaction.

These photographs are used for transaction verification. I promptly delete my temporary identification photographs once the lender or company has accepted the package.

The receiving lender or company maintains its own copy under its privacy and retention practices. Deleting my copy does not delete the recipient’s copy. Copies retained by transmission services, device backups, or recovery folders may also be subject to those systems’ retention and deletion processes.

I handle documents presented during an appointment as needed to perform the requested service and any agreed delivery or return. I do not use their contents for unrelated marketing.

4. My notary record book

I record your name, current address, and driver’s license identification number in my notary record book, along with information concerning the notarial transaction.

The record book is separate from temporary identification photographs. Deleting an identification photograph does not remove information recorded in the book.

Notarial records are retained as official records and are not included in routine deletion of temporary materials. Applicable law may require their preservation or disclosure. Requests for access are handled subject to applicable legal requirements, including any required protection or redaction of confidential information.

5. Website inquiries through Formspree

My website uses Formspree to process contact form submissions and forward them to my email inbox. Formspree receives the information entered into the form, such as your name, email address, telephone number, and message. Submissions may also remain in my Formspree account.

Formspree may process technical information, including IP addresses, browser information, and submission details, to operate and protect its services.

Please use the contact form only for general questions and scheduling. Do not submit identification photographs, Social Security numbers, financial account information, medical information, or complete legal documents through the form.

6. Scheduling through Google Calendar

I use Google Calendar to manage appointments. Calendar entries may include your name, contact information, appointment time, location, and scheduling notes.

If I send a calendar invitation, the appointment information included in that invitation is shared with its recipients. Please consider the information included before forwarding an invitation to someone else.

7. Payments

I accept Venmo and checks.

Venmo (@Paige_Giles): I receive the transaction information available to the payment recipient, such as your profile name, payment amount, date, and payment note. Avoid including sensitive document details in payment notes and review your Venmo privacy settings. Venmo maintains its own transaction records under Venmo’s Privacy Statement.

Checks: A check contains information such as your name, account and routing numbers, and signature. This information is used to receive and verify payment. Financial institutions may retain check images and transaction records.

8. How I use and disclose information

I use information to respond to inquiries, coordinate travel and appointments, verify identity, perform services, maintain records, receive payment, and address questions or disputes.

I do not sell or rent client personal information or provide it to third parties for their independent marketing.

9. Retention of messages and contact information

I do not ordinarily add your information to a separate saved contact list unless you request it. However, information can remain in the systems used to communicate with you and provide services.

I do not currently follow a routine deletion schedule for old correspondence, contact form submissions, or calendar appointments. As a result, your information may remain in email, message history, Formspree submissions, and Google Calendar after your appointment.

Payment and accounting records are retained for business, tax, and legal purposes. Official notarial records are maintained separately. Temporary identification photographs are handled according to Section 3.

You may request deletion of information that is not required for an ongoing service, recordkeeping obligation, or other lawful purpose. Deletion from my records may not remove copies held independently by a lender, payment provider, or other recipient.

10. Mobile appointments and information security

I handle information with care during travel and appointments and use reasonable precautions to limit unauthorized access to documents, identification photographs, and records.

Appointment addresses and access instructions are used to coordinate and complete the visit. If an appointment takes place in a shared or public setting, you may request a more private area before presenting sensitive information.

No method of communication or storage is completely secure. If a security incident requires notification under applicable law, I will provide the required notices.

11. Outside services and links

The website code does not set cookies or use advertising trackers, analytics, or browser storage. It does not load embedded maps, videos, or social-media widgets. The contact form connects to Formspree when you submit it. The website’s form script submits inquiries without sending browser cookies. Website hosting and outside services may process technical information under their own policies.

My website uses Formspree for contact submissions. Third-party services may process technical information when you interact with them.

Outside services operate under their own privacy policies. This policy describes my practices as the operator of Giles Mobile Notary and does not replace the policies of Google, Formspree, Venmo, your lender, or other companies involved in your transaction.

12. Privacy requests

I may request limited information to verify your identity. Please do not send an identification photograph or other sensitive information with your initial request.

I will respond as required by applicable law. Some requests may be limited by official recordkeeping duties, legal preservation obligations, ongoing transactions, or the rights of others. Official notarial entries cannot be removed or changed contrary to applicable law.

13. Policy updates

I may update this policy when my services, practices, or legal obligations change. The revised policy will appear on my website with an updated effective date. Additional notice will be provided when required by law.
